Event Coordinator

En tant que Coordinateur(trice) Événements & Groupes, vous êtes l'interlocuteur privilégié de nos clients pour l'organisation et le suivi de leurs événements. Vous assurez la coordination entre les équipes commerciales, opérationnelles et les clients afin de garantir une exécution fluide et une expérience exceptionnelle, de la confirmation de l'événement jusqu'au suivi après sa réalisation.
Vos principales missions
Gestion et coordination des événements
- Assurer la prise en charge et le suivi de toutes les demandes entrantes relatives aux groupes et événements corporate & sociales, via l'ensemble des canaux de communication.
- Coordonner l'ensemble des services de l'hôtel afin de garantir une parfaite exécution des événements.
- Gestion des réservations hébergements pour les groupes et intégration des roomings-lists
- Élaborer les propositions commerciales, devis et confirmations d'événements en collaboration avec les clients.
- Organiser et animer les réunions pré et post-événement avec les différents départements.
- Lire, analyser et préparer les dossiers événementiels ainsi que les Banquet Event Orders (BEO) afin de garantir la bonne compréhension des besoins clients.
- Déterminer les plannings de mise en place, les configurations des espaces, les besoins spécifiques des clients, les buffets, stations de service et autres exigences opérationnelles.
- Participer aux visites de site et présenter les installations aux clients lorsque nécessaire.
- Gestion de la facturation post-event & commissions
Relation client
- Être l'interlocuteur principal du client tout au long du processus (avant, pendant et après l'événement).
- Assurer une présence lors des événements afin de s'assurer que toutes les dispositions convenues sont respectées.
- Effectuer un suivi post-événement afin de mesurer la satisfaction client et identifier des pistes d'amélioration
Développement commercial
- Identifier des opportunités et proposer des services complémentaires adaptés aux besoins des clients.
- Générer des revenus additionnels à travers la valorisation des prestations de l'établissement.
- Contribuer à l'optimisation des revenus liés aux événements, aux chambres, à la restauration et aux prestations annexes.
- Veiller au respect des standards de qualité de l'établissement et des standards de marque.
Profil recherché
- Formation et/ou expérience en hôtellerie, tourisme, événementiel, gestion ou domaine équivalent.
- Première expérience réussie dans l'organisation d'événements, la coordination de groupes, l'hôtellerie ou la gestion de projets clients.
- Excellentes compétences organisationnelles et sens aigu du détail.
- Excellentes aptitudes relationnelles et orientation client développée.
- Capacité à gérer plusieurs dossiers simultanément dans un environnement dynamique.
- Excellentes qualités de communication écrite et orale.
- Esprit d'équipe, flexibilité, attitude positive et sens du service.
- Capacité à anticiper, résoudre les problèmes et prendre des initiatives.
- Curiosité et volonté d'apprentissage continu.
- Maîtrise des outils informatiques et des logiciels hôteliers ou événementiels.
- Français et anglais courants indispensables ; toute autre langue constitue un avantage.
