General Services Administrator (H/F)

Reporting to the Facilities Management lead, this role encompasses a dual focus on administrative support for general services and front-desk operations. The position serves as the primary point of contact for guests and partners, with a specific emphasis on managing reception duties during midday hours and providing coverage during staff absences.

Key Responsibilities:

• Overseeing day-to-day general service coordination with a proactive approach to addressing internal and external inquiries.
• Managing the reception desk, ensuring a professional and welcoming environment for all visitors at the corporate headquarters.
• Maintaining high standards of service delivery and operational flexibility to support the broader facilities team.

Contractual Details:

• This is a one-year fixed-term engagement.
• The standard schedule is set at 60% (Monday through Friday, 12:30 PM to 5:30 PM), with the potential for an annual increase of up to 10% based on evolving operational requirements.
• The remuneration package is structured on a pro-rata basis, reflecting the 60% to 70% workload allocation.

• Act as the primary point of contact for external partner organizations, overseeing the end-to-end lifecycle of procurement requests.
• Manage the logistics of physical and digital correspondence, ensuring seamless tracking and distribution of incoming and outgoing shipments.
• Oversee the preparation and compliance of international trade and customs documentation.
• Maintain optimal stock levels for corporate operational resources, proactively managing procurement and replenishment cycles.
• Perform rigorous audits of vendor invoices to ensure financial accuracy and contractual alignment.
• Partner with the facilities management division to supervise external service providers and verify the quality of delivered site services.
• Provide comprehensive administrative assistance to internal departments to streamline daily workflows.
• Serve as a secondary point of contact for front-office operations, including visitor management, switchboard administration, and the maintenance of digital signage systems.
• Contribute to the planning and execution of internal corporate functions and team-building initiatives.
