Responsibilities:

• Provide prompt and professional assistance to students, staff and visitors via phone, email, and face-to-face interactions, ensuring their needs are met efficiently
• Redirect inquiries and guide guests to the appropriate department
• Handle various administrative duties, including accurate cash handling, record-keeping, and ensuring smooth daily operations at the Student Concierge
• Assist with student and visiting lecturer check-ins and check-outs, preparing necessary documents ; student IDs and nametags
• Manage the reception, sorting, and distribution of incoming and outgoing employees and students mail to ensure timely and efficient delivery
• Conduct quarterly Student Concierge inventory checks to maintain accurate stock levels and ensure essential supplies are always available
• Oversee the sales process of branded merchandise, handling transactions, and maintaining inventory records
• Accept and record tuition payments while ensuring proper communication and documentation to the appropriate departments
• Coordinate and supervise the proper storage of students' personal belongings, ensuring security and easy access when needed
• Manage and update student information related to room allocations, meal plans, and other key details using Academia, Secanda, and the Mercury systems
• Prepare access keys and staff badges, tracking their distribution, and maintaining accurate records
• Provide guidance and oversight to trainees and Experimental first-year students during their workshops at the Student Concierge, ensuring they gain valuable hands-on experience; all while making the link with a hotel reception
• Manage and report weekly and monthly petty cash transactions, ensuring accuracy and accountability in financial records
• Manage the lost and found process, including receiving, documenting, and securely storing lost items, and ensuring they are promptly returned to their rightful owners
• Provide shuttle service on demand when a driver is unavailable
• Being flexible to work on both Glion and Bulle campus when needed

Profile and experiences:

• Commercial CFC or diploma in a hospitality field or similar experiences
• Experience in a hotel reception, guest relation, service, or an administrative post
• Working experience in multicultural environments preferable
• Demonstrated versatility and flexibility
• Proficient in internet and MS Office tools use
• Proficient in Academia ; Mercury a plus
• Strong written and spoken skills in English and French
• Valid driver license is an asset
